Materials Management

The goal of the Materials Management Department is to support the mission of the university by providing individualized customer service, delivering orders expeditiously, and being good stewards of university assets and records.

Inventory

The purpose of inventory is to maintain a record of equipment received that is valued at $3,000 and over. Equipment that is valued between $3,000.00 and $4,999.99 is classified as small value. Equipment valued at $5,000.00 and over is classified as capital asset. Each piece of equipment with these values has to be tagged by inventory staff when it is received.

Records Retention

The purpose of records retention is to establish consistent record retention practices by member institutions of the University System of Georgia and to allow ongoing compliance with federal and state law, including the Georgia Records Act (O.C.G.A. 50-18-90 et seq.), and to meet requirement of external bodies such as accrediting organizations. A listing of the schedule for different records can be found at http://www.usg.edu/records_management/schedules/. Please access the records management schedule before submitting records to Central Receiving for storage.

Surplus Property

The purpose of surplus property is to remove equipment that no longer has value to the department or is obsolete or inoperable. When equipment is identified as surplus it is transferred to Materials Management via a property surplus form. The equipment is then sold or picked by a contracted disposal vendor.
