ITS Phone System Upgrade

Coming December 2018

ASU ITS will be upgrading the two campus phone systems the weekend of December 15, 2018. The new, combined phone system will result in new phone numbers for all faculty, staff, main departments and fax lines on the East Campus, West Campus and Cordele Campus.  The upgraded phone system will result in numerous benefits to the campus, a few examples include:

  • Internal phone directories will reflect all ASU staff
  • Same number prefix for everyone (500-xxxx)
  • Streamlined dial structure (internal 4-digit dialing)
  • Expanded inbound/outbound calling capacity
  • Department number blocks (co-workers will have similar numbers)
  • Redundancy between campuses
  • Caller ID will reflect appropriately for inbound and outbound calls
  • Significant annual cost savings

FAQs

This will not affect the emergency phones nor the elevator phones. The police department will receive a new department phone number but all emergency numbers will not be affected.
This consolidation of phone systems will affect all faculty, staff, offices and departments at the East campus, West campus and Cordele Center.
Yes, every phone at ASU will receive a new phone number.  This includes faculty/staff office lines, main department lines and student worker lines.
No, you will not be able to choose your own phone number.
All departments will be assigned a particular block of numbers which will be divided up amongst the phones within that department.  This means all staff within a department should have similar numbers.
Faculty and Staff will receive their new numbers once the cutover occurs, this cutover is scheduled to be the weekend of December 15, 2018.  Once the cutover occurs, your new number will automatically replace your current number on your office phone and you can begin using it immediately. 
Yes, once the cutover has occurred, all numbers will switch over at the same time.
No individual numbers will be forwarded to their respective new numbers.  Only critical departmental numbers will be automatically forwarded (Enrollment Management, President’s Office etc).
All main department numbers will be shared in advance of the cutover with the respective Department head.  Critical department numbers to the institution will automatically forward to their respective new numbers for 3 months after cutover.
All current voicemails will be lost during the cutover period, December 15, 2018. Please ensure you review and document all voicemails before that time.  If your voicemails are sent to you as an email attachment, these voicemails are secure and will be kept in your inbox.
Yes, once we consolidate into the new system, you will be able to look up anyone on any campus through your office phone’s internal directory. Simply press the “Directories” button on your desk top phone, scroll down to the corporate directory, press select, and start typing the name of the individual you are seeking.
Yes, your voicemail PIN will change. All users will be notified with their new PIN as well as provided instructions for setting up your new voicemail and checking messages. 
Yes, during the cutover period all phone numbers on the website will be updated and our main directory will automatically reflect the new numbers.
Students and outside entities will need to be directed to our online directory once the cutover has occurred.
Yes, your FAX number will change and will be assigned accordingly.
